About the role:
The Enterprise Technology & Software Engineering team connect and build the technology tools that help our group work smarter, faster, and more efficiently.
We achieve this by focusing on the configuration, development and continuous improvement of our Enterprise Technology platforms, our approach is seamless and iterative, prioritizing agility and adaptability. By integrating modern engineering approaches and fostering a culture of constant innovation, we ensure that our core building blocks not only support current needs but also scales effortlessly for future growth.
As a Project Coordinator, you’ll be working closely with Program and Project Managers and the wider Enterprise Technology Retail team to coordinate and support project related activities. This includes resourcing, budgeting, maintaining project documentation, reporting, and other ad-hoc tasks that may be required.
You’ll take us further by:
- Coordinate program and project management activities including resource planning, forecasting & budgeting, managing project schedules
- Assist with creation/maintenance of project documentation in line with Ampol's project management methodology, maintain project information in Ampol's project tool and project reporting.
- Assisting Project/program managers with day-today activities including scheduling meetings, recording decision and action items
- Undertake administrative tasks, including assisting in organizing recruitment tasks and onboarding new team members, ordering resources e.g. equipment., track expenses and costs and manage timesheets
- Liaise with program/project managers, other team members and vendors to determine progress of deliverables. Identify issues and escalate as necessary
- Manage financial administration of Project/Programs utilising ERP systems such as SAP to raise POs, Good Receipt, and extract reports
- Use solid organizational skills, including multitasking and time management to ensure project deadlines are me
We’d love it if you have:
- Excellent time management, organisation, communication skills and ability to deliver results on deadlines.
- Experience/exposure to Project Management terms like RAID, RACI and methodologies like Waterfall, Agile
- Proficient in project scheduling and managing stakeholders of all levels of the team.
- “Team First” mindset - including the ability to work with competing priorities from a wide variety of project stakeholders, and able to pick up ad hoc tasks as needed
- Experienced with Project Management/ERP Software, and comfortable with financial admin – Purchase orders, expense records etc.
