About the role

We’re looking for a proactive and high-performing Executive Assistant to join our Commercial Fuels & Energy (CFE) team. In this pivotal role, you’ll provide seamless executive-level support to the Executive General Manager and the CFE Leadership Team. As a trusted partner, you’ll anticipate needs, drive efficient operations, and create capacity for the leadership team to focus on strategic priorities.

Key responsibilities

 

  • Manage the EGM’s calendar, coordinating priorities and anticipating future needs.
  • Screen and respond to routine communications, including emails and correspondence.
  • Prepare high-quality documents such as board packs, agendas, PowerPoint presentations, and Excel spreadsheets.
  • Organise and manage internal and external meetings, workshops, conferences, and key leadership forums including town halls and engagement sessions.
  • Attend leadership meetings, take minutes, and drive action item follow-ups (e.g., Monthly and Quarterly Business Reviews).
  • Coordinate domestic and international travel, and manage expenses via Concur.
  • Manage purchase orders and process invoices in line with company systems (Ampolbuy).
  • Maintain and update CFE SharePoint sites, ensuring content, banners and images are kept current.
  • Support the CFE Leadership Team with administrative needs and project activities as directed by the EGM.
  • Build trusted relationships with internal and external stakeholders, contributing to a collaborative and high-performing team culture.

 

 

Experience & qualifications

 

  • Business-related qualifications, or equivalent professional experience in executive-level support.
  • Previous experience supporting senior executives in fast-paced corporate environments.
  • Background in Retail, Energy, or related industries would be advantageous.
  • Exposure to working within ASX-listed entities or busy Corporate/Public Affairs teams is desirable but not essential.

 

Skills & knowledge

 

  • Demonstrated success as an Executive Assistant at senior levels, with a proactive, solutions-focused approach.
  • Strong judgment, discretion, and the ability to handle sensitive information with absolute confidentiality.
  • Exceptional organisational skills with the ability to prioritise and adapt to a dynamic, changing environment.
  • Advanced proficiency in Microsoft Office, particularly PowerPoint, Word, and Excel.
  • High attention to detail, strong written and verbal communication skills.
  • Experience in content management systems and SharePoint maintenance.
  • Event management and project coordination capabilities.
  • Ability to build positive relationships and work collaboratively across all levels of the organisation.
  • High energy, personal drive, and initiative with the ability to respond to flexible work hours when required.
  • Technologically savvy, with comfort using mobile connectivity and digital tools.
